Advanced Search for Documents in Robin

Find what you need, faster. Advanced Search in Robin's Legal Intelligence Platform lets you slice through thousands of documents with precision.

Robin Filters

Robin provides different types of filters to enable user refine their search. These are:

• Document Type - the nature of the document for e.g Service Level Agreements.
• Document Status - the status of the document in Robin.
• Permission Group- the permission group the document belongs to in Robin.
• Document Properties- clauses or terms that contained in the document.
• Keyword - words or phrases contained in the document.

Conditional Rules

Robin enables users to build conditional rules in addition to filters in order to run complex search queries on documents. These are:

• Match Any - finds documents that match at least one applied filter.
• Match All - finds documents that match every applied filter. This conditions is applicable only to the Document Properties filter.
• Exclude - find documents that do not match every applied filter.
• Exact Match - find only documents that match the keyword exactly. This condition is applicable only to the Keyword filter.

How to use Advanced Search

1. Navigate to Documents in the Legal Library.
2. To access Advanced Search:
   1. Either perform a keyword search then click view all results to access advanced search filters; OR
   2. Click the Search bar in the top right or Command + K on your keyboard then click Advanced Search.
3. Choose whether to Search Everywhere or limit the search to:
   1. Document titles - documents with a title that matches the keyword
   2. Document properties- documents that contain clauses or terms that match the keyword.
   3. Document contents- documents that contain text that match the keyword.
4. Add a Filter type by clicking on the Filter type and selecting the applicable option. Robin will instantly return a list of documents that match the filter and condition. Change conditions as desired i.e to Match or Exclude the filter.
5. Click Add Filter to add another filter of the same type and condition.
6. Click Add Rule to add another Filter of the same type but a different condition.
7. Combine and layer as many filter types as required to refine your search and get your desired results.
8. Choose a single document from the results to view in more details or use the checkboxes to add multiple documents to a Table or Chat.
