Getting Started with Robin's Obligations
Robin’s Obligations enable you to track, manage and report on contractual obligations across all your agreements.
Understanding Obligations
Robin supports configuring two kinds of obligations within your documents:
- Time-based obligations which are triggered by the passage of time e.g 1st of x month.
- Event-based obligations which are triggered by an event occurring that requires action to be taken e.g give notice to ABC LLC when x event occurs.
User Roles and Responsibilities
There are two user roles in Obligations and their responsibilities differ based on the type of obligation.
- Obligation Manager who can view all obligations they manage and mark obligations as complete.
- Responsible Party who can view all their assigned obligations and mark all time based obligation as complete. For event based obligations, Responsible parties can submit compliance responses (Compliant or Action Required) and add comments to provide context.
Obligations Dashboard
When you select Obligations on the left side bar, you’ll see your obligations in four main sections organized by status. You can filter your dashboard by Fund, Counterparty and Responsible party.
Priority
Contains obligations that need immediate attention:
- Overdue - Obligations which have passed their due date and have to be completed.
- Action Required - Event-based obligations where compliance issues were identified.
To-Do
Contains obligations due soon:
- Due Today - Obligations which have reach their due date.
- Due - Obligations which have passed their reminder date but not yet reached their due date.
Upcoming
- Upcoming - Obligations scheduled for the future and not yet due.
Completed
- Complete - Obligations that have been fulfilled, with exportable audit trails for records and compliance.
Please note that Obligations can be set to re-occur and will transition back to Upcoming after they have been completed depending on the cadence that has been set e.g weekly, monthly, annually.
Working with Obligation Details
When you click on an obligation, you'll see:
Key Information
- A short description of the obligation.
- The current state of the obligation.
- The Due date of the obligation or when the obligation check must be completed.
- Additional context about the nature of the obligation.
- A text field to add comments about the action required or completion of an obligation.
People Involved
- The Obligation Manager overseeing this item
- The Responsible Party or parties assigned to complete or review
Related Clauses
- The specific language that created this obligation.
- A link to open the full document in Robin, automatically scrolled to the relevant clause.
Email Notifications
Robin automatically sends email reminders when obligations approach their due dates or become overdue. These are:
- Reminder emails - When obligations have reached the date you want to be reminded.
- Due today emails - When obligations have reached their due date.
- Weekly overdue digest - Every Thursday for all overdue items.
- Action required email - Sent within 1 hour of an event based obligation marked as Action Required.
- Weekly completed digest - Every Thursday for recently completed items and sent to Obligation Managers only.
Frequently Asked Questions
Q: How do I know if an obligation is time-based or event-based?
Robin handles this automatically. Event-based obligations will show compliance response options, while time-based obligations go straight to completion.
Q: Can one person be both an Obligation Manager and Responsible Party?
Yes, roles are not mutually exclusive. You may see obligations where you have different responsibilities.
